  • Volunteer and event toolkits and guidance in the acceptable use of Jefferson’s name and logo in promotional materials for your event (see below)
  • Event listings on Jefferson’s Office of Institutional Advancement giving portal and website

Assistance that Jefferson cannot offer:

  • Staff support for event coordination
  • Recruitment of event sponsors and participants
  • Mailing lists of donors, alumni, vendors, employees, or volunteers
  • Financial support to cover event expenses
  • Help obtaining permits or insurance coverage
  • Official receipts for donations not payable to Jefferson

Requirements for Marketing and Promotional Materials

Jefferson must review and approve all publicity and promotional material containing the Jefferson name or logo, or the name or logo of its affiliates, before these materials are printed, emailed, posted, or released to the public in any way. Please email materials for review to communityfundraising@jefferson.edu

Liability

Jefferson disclaims any and all liability and responsibility of any nature associated directly or indirectly with your event or project, including, without limitation, property damage and personal injury.

Tax Deductibility and Receipting

An individual or organization making a donation payable to and received by Jefferson will receive an official receipt for tax purposes outlining the tax-deductible portion of the donation. The name appearing on the check received by Jefferson, or donation made online, will be used for receipting purposes.

If goods or services are received in return for charitable donations (e.g., auction purchases, beverages, meals, tickets, etc.), you must determine and communicate the fair-market value of those goods or services to individuals before they make a donation. The value of goods or services will be deducted from the total donation amount to determine the tax-deductible portion of the donation.

Event Proceeds

All proceeds from your event or promotion should be received within 30 days. Gifts made via check should be payable to “Jefferson.” Although a pre-addressed and prestamped envelope will be provided, additional checks should be mailed to:

Jefferson Office of Institutional Advancement
Attn: Community Fundraising
130 S. 9th St., Suite 1700
Philadelphia, PA 19107

Please complete and include the provided remittance form that states the event name and the area within Jefferson that the donations support. If individuals are mailing checks directly to Jefferson at the address above, please include the event name in the memo of the check so the donations may be directed appropriately. If you have questions about these guidelines or need more information, please contact 215-955-0977 or communityfundraising@jefferson.edu.

You need to submit an application in order to receive the Toolkit and event materials. It also ensures the correct fund has been designated for your support. All fundraisers must be approved to ensure that programs:

  • Support the mission and values of Jefferson;
  • Do not promote a political party/candidate or appears to endorse political issues;
  • Do not potentially conflict with marketing or public relations campaign; and
  • Do not require Jefferson to sell tickets, coupons or involve telemarketing or door-to-door solicitation.

The toolkit provides you with a detailed timeline to help with planning for your event, during your event, and after your event, including tips on outreach, social media marketing, press release tips, and follow-up with your donors. The toolkit also includes information about Jefferson’s graphic identity and sample solicitation and thank-you language.

Yes, you may use the appropriate logo included in the toolkit. All materials using the logo or name must be approved by Jefferson staff prior to printing. Please send all materials, marketing, and collateral to communityfundraising@jefferson.edu for approval.

Jefferson will gladly promote your fundraiser on the Community Fundraising website as well as list your event under Community Events on the main Events page
